Your Key Responsibilities

  • Provide autonomous administrative support to a dedicated team or Manager, ensuring efficient daily operations.
  • Organize office functions by optimizing procedures, managing communications, and facilitating effective information flow, including visitors and correspondence.
  • Handle administrative requests, schedule appointments, plan meetings, and document minutes accurately.
  • Manage timekeeping and travel arrangements, including travel expense processing for team members or Manager.
  • Coordinate with internal departments and maintain relationships with external parties, such as suppliers, customers, and authorities.
  • Create, update, and maintain accurate records and assist in preparing detailed reports or presentations.
  • Process and maintain Electronic Purchase Requests (EPRs) for the Danbury Campus, ensuring accuracy and completeness.
  • Identify discrepancies between purchase requests and orders, escalate payment issues promptly, and support timely supplier payments through coordination with shared services.
  • Forecast monthly procurement costs using current purchase data and provide regular cost forecast reports to support budget planning.

Your Qualifications

  • Associate degree in a business-related field
  • Minimum of 2 years’ experience in an administrative role
  • Proficient in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Strong ability to meet deadlines and prioritize tasks effectively
  • Professional demeanor with the ability to represent Schaeffler in all settings
  • Demonstrated discretion and ability to maintain strict confidentiality
  • Candidates must be authorized to work in the US without any visa sponsorship
  • Position requires Export Control compliance; candidate must be a “US Person” per 22 C.F.R. § 120.15 (e.g., US citizen, permanent resident, refugee, or asylee)
