Overview
The Executive Assistant (EA) is the key administrative partner to the General Manager (GM) of Hydrogen GC, ensuring the smooth, efficient, and professional operation of the business. The EA provides high-level secretarial support, acts as a central communication hub, coordinates initiatives, and delivers proactive solutions to advance Hydrogen GC's strategic objectives.
Responsibilities

Document Preparation & Correspondence
- Draft clear, concise, and professional documents (reports, memos, letters, presentations, etc.) on behalf of the GM.
- Manage the GM’s correspondence and ensure timely follow-up on internal/external communications.

Internal & External Coordination
- Serve as a liaison between the GM and internal teams, facilitating seamless cross-departmental collaboration and resolving coordination issues promptly.
- Support the GM in managing external relationships with partners, clients, and stakeholders; triage and respond to external enquiries with appropriate follow-up.

Meeting & Event Management
- Plan and execute meetings, workshops, and events for the GM (agenda setting, logistics, participant coordination).
- Record accurate meeting minutes, track action items, and follow through to completion.

Complex Task & Ad-hoc Project Support
- Independently handle complex tasks and ad-hoc projects assigned by the GM, adapting to shifting priorities in a high-pressure environment.
- Provide operational support to advance Hydrogen GC's strategic projects.

Calendar & Time Management
- Manage the GM’s calendar, schedule appointments, and prioritize tasks to optimize the GM’s time efficiency.
- Demonstrate excellent time management and multi-tasking skills to balance multiple responsibilities.

Proactive Learning & Knowledge Building
- Proactively learn about Hydrogen GC’s business, industry trends, and operations to enhance support effectiveness.
Qualifications
- Bachelor’s degree or above in Business Administration, English, or other related fields.
- Minimum 3 years of executive assistant or secretarial experience; German enterprise experience is preferred.
- Experience supporting senior management in a fast-paced, complex business environment is a plus.
- Fluent in English (listening, speaking, reading, writing) to handle international communications and documents. Basic proficiency in German is preferred (for engagement with German-speaking stakeholders).
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office software/tools.
- Excellent communication and coordination skills to engage diverse internal/external stakeholders.
- Strong ability to work under pressure, with meticulous attention to detail and critical thinking for problem-solving.
- Outstanding time management and multi-tasking capabilities to prioritize work effectively.
- Proactive learning attitude and strong sense of responsibility.
- High professionalism, discretion, and confidentiality in handling sensitive information.
